How it works

The administration cycle, start to finish

Abacus Administrators follows the sequence a fund already runs on. You do the work in the platform once, and the ledger, the statements, and the year-end package all come from the same source.

01

Onboarding the fund

You enter the fund's legal name, structure, fiscal year, and economic terms, then load the investor roster with commitments and any existing balances. If the fund has been running in a spreadsheet, this is where the history comes across as opening balances.

  • Fund profile, fiscal calendar, and reporting periods
  • Investor roster with commitments and contact details
  • Opening capital account balances for existing funds
02

Calling and recording capital

Capital calls are calculated pro-rata against commitments and issued as dated notices. As money arrives, contributions are recorded against each investor's account and the unfunded commitment updates automatically.

  • Pro-rata call calculation across commitments
  • Notices with amounts, due dates, and wire references
  • Contribution recording and unfunded commitment tracking
03

Running the period

Investments, expenses, management fees, and valuations are posted as they occur. At period end, the results are allocated across capital accounts according to the fund's own waterfall and expense-sharing terms.

  • Investment and expense postings with supporting documents
  • Period-end valuations and NAV
  • Allocations driven by the fund's terms
04

Distributions

When capital comes back, distributions are calculated, posted, and reflected in every affected account, with the split between return of capital and profit recorded rather than reconstructed later.

  • Distribution calculation and posting
  • Return of capital versus profit tracked separately
  • Investor notices for each distribution
05

Reporting and year-end

Investors receive capital account statements for the period. At year-end, the fund-level package pulls together the ledger, allocations, and balances in the form your accountant needs to prepare returns.

  • Per-investor capital account statements
  • Fund-level summaries and period comparisons
  • Year-end package for your accountant

Where we stop

What stays with you and your advisers

Abacus Administrators is administration software. It keeps the books and produces the reporting; it does not replace your fund's counsel, accountant, or auditor.

  • Fund formation, offering documents, and regulatory filings remain with your counsel.
  • Tax returns and K-1s are prepared by your accountant from the year-end package.
  • Custody of cash and securities remains with your bank, broker, or custodian.
  • Investment decisions and investor communications remain with the fund manager.
